The real problem

Every patient starts as a search. Then a click. Then an enquiry. Whether they ever walk through your door depends on your website, marketing, and follow-up working together

Follow one patient through one week

One patient · one week

Meet Maria. Her week shows where practices win, or quietly lose, a new patient

Maria is an illustrative example, not a real patient.

02Sunday · 9:48 PM

The first impression

She taps your listing. She's tired, on a small screen, and comparing you against two other tabs.

Without a systemA slow page, vague services, and a booking link buried in a menu. She goes back.

With a connected setupClear services, real provider details, and one obvious next step on every screen.

The enquiry

She requests an appointment. Your office closed hours ago.

Without a systemThe form lands in a shared inbox, under everything else that arrived overnight.

With a connected setupIt arrives in your CRM as a new enquiry, tagged with its source and assigned to your front desk.

The callback

Monday morning. Phones are ringing and the waiting room is filling up.

Without a systemCalling her back depends on someone remembering. By Wednesday, she's booked elsewhere.

With a connected setupA callback task is waiting at the top of the list. Someone calls her before 9.

05Thursday · 6:00 PM

The reminder

Her appointment is tomorrow morning. It's been a long week.

Without a systemNo reminder. Life gets busy, and the slot sits empty.

With a connected setupA reminder your team approved goes out on schedule. She confirms with one reply.

Maria is in the exam room. Now it's your clinical team's turn.

Without a systemGeneric templates and extra clicks that don't match how your clinic works.

Monday · 8:00 AM

Same front desk. Same busy morning. Very different week

Drag the handle to compare a front desk running on memory with one running on a connected setup.

Drag, or use the arrow keys, to compare

  • 01 · WEBSITE

Patients can't find the next step

Services are hard to compare and the booking option is buried, especially on a phone.

  • 02 · ENQUIRIES

    Enquiries arrive everywhere at once

Forms, calls, emails, ad leads, and messages land in different places.

  • 03 · FOLLOW-UP

    Follow-up depends on memory

Callbacks and reminders live on notes and in inboxes. Some slip through.

  • 04 · REPORTING

    Reports don't connect to enquiries

Clicks and impressions, but no clear line to which campaigns produced enquiries.

Services

Every moment in Maria's week is something we set up

Six services, one coordinated plan. Start with the one you need most, then add the rest when it makes sense.

Who you'll work with

Maria's week touched four vendors. You'd deal with one person

You work directly with Manish Giri, who leads Vayunex Labs and is responsible for your project from the first conversation through launch.

Vayunex LabsOne point of contact
“Many practices end up coordinating a web designer, an SEO contractor, an ad agency, and a software vendor—and acting as the go-between. I'd rather take that coordination off your plate: one point of contact, plain-English explanations, and a written scope before anything gets built.”
— Manish Giri, Vayunex Labs

Hands-on implementation

The person who scopes your project stays involved in building and configuring it—not just in the sales conversation.

Technical understanding

Websites, tracking, CRM pipelines, and practice software are planned as one system rather than separate projects.

Clear communication

Plain-English updates, decisions explained before they're made, and straight answers when something is outside scope.

Coordination across systems

Your website, campaigns, and follow-up workflows are designed to hand off to each other cleanly.

No guesswork about what happens next. You'll know the scope, the cost, and your role before work begins.

  2. Scope and written proposal

You receive a written proposal covering deliverables, responsibilities, pricing, and what isn't included.

  3. Build, configure, and review

We build and configure the agreed scope, with review points so you see progress and approve key decisions.

We launch together, then continue with the ongoing support set out in your proposal.

Book a Discovery Call
Can you improve our existing website?

Often, yes. We start by reviewing your current site—content, structure, speed, mobile experience, and how enquiries are handled. Then we recommend whether targeted improvements or a rebuild makes more sense, and explain why.

Can we start with one service?

Yes. You can start with a website, SEO, advertising, CRM/PRM, or EMR work on its own, and add other services later if they make sense for your practice.

Is advertising spend included?

No. Advertising spend is separate from the advertising management fee. Your proposal shows both clearly, so you always know what goes to the ad platforms and what covers our work.

Can you work with our existing software?

In many cases. During discovery we review the tools you already use—scheduling, phones, forms, CRM, or EMR—and confirm what can connect, what needs a workaround, and what's outside scope before you commit.

Who owns the website and accounts?

Ownership of your website, domain, and marketing accounts is set out in writing in your proposal before any work begins. If you have specific requirements, raise them on your discovery call and we'll address them directly.

What support is included?

It depends on the engagement. Your proposal spells out what's covered after launch, how to request help, and anything billed separately—so there are no surprises later.

How do you handle privacy and security requirements?

Carefully, and without blanket claims. Requirements depend on which tools handle patient information. During scoping we identify where protected health information (PHI) may be collected or stored—such as web forms, CRM, PRM, or EMR—and plan platforms and configurations with your obligations in mind, including whether vendors need to sign a Business Associate Agreement (BAA).

Your practice's compliance program and advisors remain the final word on HIPAA and other regulatory requirements.

Tonight at 9:47 PM, someone near you will search for exactly what you do.

Let's build the right setup for your practice

Let's make sure they find you, trust you, and hear back in time. Bring your current website, marketing, and workflow questions. You'll leave the call with a clear picture of what to tackle first.
